Essential Job Functions: 1. Responds to inquiries and resolves discrepancies involving simple to moderately complex financial transactions in a timely manner, requiring a general understanding of work-area policies and procedures.
2. Acts as liaison with other departments, divisions, or organizations.

General
3. Operates computers programmed with accounting software to record, store, and analyze information.
4. Operates 10-key calculators, typewriters, and copy machines to perform calculations and produce documents.
5. Debits, credits, and totals accounts on computer spreadsheets and databases, using specialized accounting software.
6. Checks figures, postings, and documents for correct entry, mathematical accuracy, and proper codes.
7. Reconciles or notes and reports discrepancies found in records.
8. Resolves discrepancies in accounting records.
9. Prepares trial balances of books.
10. Compiles statistical, financial, accounting, or auditing reports and tables pertaining to such matters as cash receipts, expenditures, accounts payable and receivable, and profits and losses.
11. Accesses computerized financial information to answer general questions as well as those related to specific accounts.
12. Prepares purchase orders, check requests, expense reports, journal entries, and/or budget transfers.
13. Reviews purchase orders, check requests, expense reports, journal entries, and/or budget transfers for accuracy, and approves or denies.
14. Reviews purchase orders, check requests, expense reports, journal entries, and/or budget transfers for accuracy.
15. Performs financial calculations, such as amounts due, interest charges, balances, discounts, equity, and principal.
16. Calculates costs of materials, overhead, and other expenses, based on estimates, quotations and price lists.
17. Generates reports to ensure timely information is available for management use.
18. Scans and files forms and documents using electronic/manual filing systems to ensure appropriate document retention.
19. Performs general office duties, such as filing, answering telephones, and handling routine correspondence.

Accounts Receivable/Treasury
1. Reconciles records of bank transactions.
2. Tracks, resolves, and continually reduces the number of outstanding reconciliation items.
3. Receives, records, and banks cash, checks, and vouchers.
4. Prepares bank deposits by compiling data from cashiers, verifying and balancing receipts, and/or sending cash, checks, or other forms of payment to banks.
5. Calculates, prepares, and issues bills, invoices, account statements, and other financial statements according to established procedures.
6. Verifies accuracy of billing data and revises any errors.
7. Contacts customers or employees to obtain or relay account information.
8. Reviews documents such as purchase orders, sales tickets, charge slips, or hospital records to compute fees or charges due.
9. Constructs, analyzes, and submits monthly electronic entries for credit card merchant processing fees for merchant accounts.

Accounts Payable
1. Matches order forms with invoices and records the necessary information.
2. Calculates and prepares checks for utilities, taxes, and other payments.
3. Keeps records of invoices and support documents.
4. Monitors status of loans and accounts to ensure that payments are up to date.

Payroll
1. Prepares and processes payroll information.
2. Resolves discrepancies in payroll records.
3. Performs payroll calculations, such as retroactive pay, imputed income, garnishments, and/or leave adjustments.
4. Computes deductions for income and social security taxes.
5. Monitors and corrects time and attendance records.
6. Verifies accuracy of tax set-up data and resolves errors.
7. Audits and corrects employee data based on tax forms, compensation actions, and government documents.
8. Contacts customers or employees to collect overpayments.

Budget
1. Compiles budget data and documents based on estimated revenues and expenses and previous budgets.

Grant Accounting
1. Performs bookkeeping work, including posting data or keeping other records concerning costs of goods or services or the shipment of goods.
2. Tracks accumulated hours and dollar amounts charged to each project/program to calculate fees for professional services such as research or program management.
3. Prepares itemized statements, bills, or invoices and records amounts due for items purchased or services rendered.
4. Compiles reports of cost factors, such as labor, production, storage, or equipment.

Capital/Fixed Assets
20. Inventories real property and equipment, recording information such as the description, value, and location of property.
21. Maintains inventory records.
22. Converts fixed asset origination tags to permanent tags.
23. Maintains records of disposed fixed assets.
24. Researches and investigates missing fixed assets.
25. Reviews data about material assets, net worth, liabilities, surplus, income, and/or expenditures.
26. Reports to management about asset utilization and audit results and recommends changes in operations and financial activities.

Other
1. Tests programs or databases, corrects errors, and makes necessary modifications.
2. Helps programmers and systems analysts test and debug new programs.
3. Develops training materials and procedures, and trains users in the proper use of hardware or software.
4. Assists in developing training materials and procedures, and trains users in the proper use of hardware or software.
5. Serves as trainer and mentor for junior employees.
6. Complies with federal, state, and company policies, procedures, and regulations.
7. Completes special projects as assigned.
8. Performs other duties as assigned or required.
Marginal Job Functions:

1. General knowledge of MS Office Suite (Outlook, Word and Excel).
2. Basic knowledge of MS Access and/or other database reporting tools.

Required Certifications/Licensures:  
Required Education: High School Diploma or Equivalent
Major (if required):  
Required Experience: High school diploma and five (5) or more years of related accounting support experience.

OR

Associate’s degree or 60 college credits and three (3) years of related accounting support experience.

OR

Bachelor’s degree and one (1) or more years of related accounting support experience.

Preferred Qualifications: Associate’s Degree
