Essential Job Functions: 1. Coordinates and monitors the collection of longitudinal data required by CODA to monitor the effectiveness of the replacement of staples in emergency medical kits and crash carts.

2. Coordinates, deploys, and reports the semiannual resident evaluations by faculty.

3. Coordinates, deploys and reports the semiannual faculty evaluations by residents.

4. Creates ad hoc reports requested by faculty to measure student productivity using various metrics.

5. Coordinates activities / functions for dental school deans and other senior leadership within NSU as well as between NSU and external contacts such as students, patients, and other governing representatives.

6. Responds to inquiries and resolves complex problems requiring in-depth understanding of work-area policies and procedures to ensure questions are answered and issues resolved timely.

7. Reviews data and follows up on discrepancies to ensure accuracy.

8. Enters data and generates reports from NSU specific software systems to ensure accurate processing and record-keeping.

9. Coordinates travel arrangements to ensure efficient use of management's time.

10. Processes financial transactions such as check requests, purchase orders, travel reimbursements to ensure timely record-keeping.

11. Coordinates and monitors the schedule of assigned Associate Dean and others as assigned.

12. Performs general office duties, such as ordering supplies (lab coats, business cards, etc.), maintaining records in management database systems, and performing basic bookkeeping work.

13. Coordinates accreditation activities.

14. Completes special projects as assigned.

15. Performs other duties as assigned or required.
Marginal Job Functions:  
Required Knowledge, Skills, & Abilities: Knowledge:
1. Clerical - Thorough knowledge of administrative and clerical procedures and systems such as word processing, managing files and records, designing forms, and other office procedures and terminology.
2. Customer and Personal Service - Thorough knowledge of principles and processes for providing customer and personal services. This includes needs assessment, meeting quality standards for services, and evaluation of user satisfaction.
3. English Language - Thorough knowledge of the structure and content of the English language including the meaning and spelling of words, rules of composition, and grammar.
4. Computers and Electronics - General knowledge of computer hardware and software, including applications, programming, and/or systems configuration.
5. Advanced knowledge of MS Office Suite (Outlook, Word, Excel, PowerPoint).
6. Knowledge of grant funding policies and procedures and applicable local, state, federal and university regulations.

Physical Requirements and Working Environment:
1. Speech Recognition - Must be able to identify and understand the speech of another person.
2. Speech Clarity - Must be able to speak clearly so others can understand you.
3. Near Vision - Must be able to see details at close range (within a few feet of the observer).
4. May be exposed to short, intermittent, and/or prolonged periods of sitting and/or standing in performance of job duties.
5. May be required to accomplish job duties using various types of equipment/supplies, to include but not limited to nitrile gloves, dental materials, pens, pencils, mobile devices, and computer keyboards.
6. Must be able to work in a clinical setting.
7. Travel - Must be able to travel on a daily and/or overnight basis.
8. May be required to work nights or weekends.

Required Certifications/Licensures:  
Required Education: High School Diploma
Major (if required):  
Required Experience: High School Diploma and four (4) years of administrative experience, and/or coordinating various projects in an office environment.

Associate's Degree and three (3) years of administrative experience, and/or coordinating various projects in an office environment.
Preferred Qualifications: 1. Associate's Degree.

2. Experience with Banner, Ariba.

3. Previous experience working in an academic environment.
